This Privacy Policy explains how Smart AI Team LLC (“Smart AI Team,” “we,” “us,” or “our”) collects, uses, discloses, and otherwise processes personal information in connection with Smart AI Team websites, applications, cloud services, artificial intelligence-assisted features, integrations, and related services (collectively, the “Service”).
Google user data obtained through Google APIs is governed exclusively by Section 13 (Google User Data and Limited Use). That data is used only to provide or improve user-facing features that are visible in the Service. Other sections of this policy that describe marketing, cookies, advertising, analytics, “sale” or “sharing,” creating databases, or AI model training do not apply to Google user data obtained through Google APIs.

2. Personal Information We Collect
Depending on how you interact with the Service, we may collect:
- Account and profile information, such as your name, email address, organization, role, account identifiers, and authentication records.
- Billing and subscription information, such as plan, billing status, transaction status, invoice information, and payment processor identifiers. Payment card information is generally processed by our payment processor and not stored by us.
- Customer Content, such as prompts, instructions, files, messages, brand assets, campaign materials, configurations, workspace content, generated outputs, and other information you submit or authorize the Service to access.
- Integration, connected-account, and user-supplied provider information, such as account identifiers, pages or profiles, permissions, access tokens, API keys you choose to connect, publishing status, campaign information, selected AI model provider information, and data made available through third-party services you choose to connect.
- Automation and agent activity, such as instructions, scheduled actions, executed actions, tool activity, approvals, audit records, errors, and related logs.
- Device, usage, and log information, such as IP address, browser type, device information, general location derived from IP address, pages viewed, clicks, referral URLs, dates and times of access, and security, diagnostic, crash, or performance logs.
- Cookie and advertising information, such as cookie identifiers, advertising identifiers, pixels or similar technology events, campaign parameters, referral and attribution information, and conversion events where such technologies are enabled.
- Communications, such as information you provide when contacting support, requesting information, responding to surveys, or interacting with our marketing messages.
3. How We Use Personal Information
We may use personal information to:
- provide, maintain, operate, personalize, secure, and improve the Service;
- create accounts, authenticate users, administer subscriptions, process payments, and provide customer support;
- process prompts, files, instructions, and other Customer Content to provide AI-assisted features and generate outputs;
- connect third-party services and perform authorized integrations, automations, scheduled actions, or agent-assisted workflows;
- detect, investigate, and prevent fraud, misuse, unauthorized access, security incidents, and violations of our terms;
- analyze product usage, reliability, performance, and feature engagement;
- communicate with you about the Service, including transactional, security, billing, administrative, and support messages;
- send marketing communications where permitted, subject to applicable choices and unsubscribe options;
- measure campaign effectiveness, attribute visits or conversions, and, where enabled and permitted, deliver or support relevant advertising;
- comply with legal obligations and protect our rights, users, and others; and
- create aggregated or de-identified information that does not reasonably identify you or any individual.
Marketing, advertising, campaign measurement, and similar uses in this section do not apply to Google user data obtained through Google APIs. See Section 13.
4. AI-Assisted Features, Model Providers, and Customer Content
The Service may allow you to use artificial intelligence features provided through multiple third-party model providers, including providers selected by you. You may also have the option to connect your own provider account or API key.
When you use AI-assisted features, Customer Content such as prompts, instructions, files, related context, and outputs may be transmitted to and processed by the selected model provider as needed to provide the requested functionality.
Unless you expressly opt in or separately agree with us in writing, Smart AI Team does not use Customer Content to train its own general-purpose artificial intelligence models. Google user data obtained through Google APIs is never used to develop, improve, or train generalized or non-personalized AI or ML models, including when Customer Content is processed by a model provider to complete a task you requested. See Section 13.
Third-party model providers may process Customer Content according to their own terms, privacy policies, service tier, account configuration, and data-control settings. When you connect your own provider account or API key, your relationship with that provider and the provider's processing of submitted information are governed by your agreement and settings with that provider.
We may process and retain Customer Content as described in this Privacy Policy to provide, secure, support, troubleshoot, and improve the operation and reliability of the Service.
You should not submit sensitive personal information or confidential information unless you have authority to do so and it is necessary for your permitted use of the Service.
5. Cookies, Analytics, and Advertising Technologies
We and our service providers may use cookies, local storage, pixels, software development kits, and similar technologies to operate the Service, maintain sessions, remember preferences, measure performance, prevent fraud, analyze usage, and measure marketing campaigns.
Where advertising or attribution technologies are enabled, we may disclose device identifiers, cookie identifiers, IP address, browsing or interaction information, campaign parameters, and conversion events to advertising or analytics partners for measurement, attribution, or targeted advertising purposes. We do not disclose Google user data obtained through Google APIs to advertising or analytics partners.
We do not intentionally use advertising technologies to collect the contents of your prompts, uploaded files, generated outputs, connected-account credentials, or payment card information.

6. How We Disclose Personal Information
We may disclose personal information to:
- Service providers and subprocessors that support hosting, cloud infrastructure, file storage, security, authentication, customer support, email delivery, analytics, payments, billing, and artificial intelligence functionality.
- Advertising and analytics partners, where enabled, for campaign measurement, attribution, analytics, audience creation, or targeted advertising.
- Third-party services you direct us to connect, such as social media, marketing, content, advertising, or business platforms, to provide integrations or actions you request.
- Professional advisors, such as legal, accounting, tax, insurance, or compliance advisors.
- Authorities and other parties for legal or safety purposes, when required by law or reasonably necessary to protect rights, safety, security, or prevent fraud or misuse.
- Business transaction participants, in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, subject to appropriate confidentiality protections where applicable.
We do not sell personal information for money. Depending on the advertising, analytics, and tracking technologies enabled on the Service, certain disclosures may be considered a “sale,” “sharing,” or processing for targeted advertising under applicable privacy laws. Where required by applicable law, we provide applicable rights and choices regarding such disclosures. These advertising, sale, and sharing disclosures do not apply to Google user data obtained through Google APIs. See Section 13.
7. Your Privacy Choices and Rights
Depending on your location and applicable law, you may have the right to request access to, correction of, deletion of, or a copy of certain personal information; to opt out of certain targeted advertising, sales, or sharing; or to appeal a decision regarding a privacy request.
You may unsubscribe from marketing emails by using the unsubscribe link in those messages. Transactional, security, billing, and service-related messages may still be sent when necessary.
Where we use non-essential cookies or advertising technologies and applicable law requires a choice, we provide applicable controls through the Sites or other disclosed methods. Where required by applicable law and applicable to our practices, we treat a recognized Global Privacy Control signal as a request to opt out of applicable sale, sharing, or targeted advertising processing.

8. Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Service, maintain account and billing records, comply with legal obligations, resolve disputes, protect security, and enforce agreements.
Retention periods may depend on the type of information and your use of the Service. For example:
- account and workspace information may be retained while your account is active and for a reasonable period afterward;
- billing and transaction records may be retained as needed for tax, accounting, fraud-prevention, and legal compliance purposes;
- Customer Content, prompts, outputs, and files may be retained while needed to provide the Service or until deleted in accordance with available product functionality and our retention practices;
- connected-account tokens or permissions may be retained while an integration is active and removed or revoked when no longer necessary, where practicable; and
- security, audit, and diagnostic logs may be retained as reasonably necessary to secure, operate, and troubleshoot the Service.
9. Security
We maintain administrative, technical, and organizational safeguards designed to protect personal information. No transmission or storage system can be guaranteed to be completely secure.
10. International Processing
We operate from the United States and may process information in the United States and other countries where we or our service providers operate. These countries may have data-protection laws that differ from those in your jurisdiction. Where required by applicable law, we use appropriate safeguards for international transfers.
11. Children
The Service is intended for adults and business users and is not directed to individuals under 18 years of age. We do not knowingly collect personal information from individuals under 18. If you believe a minor has provided personal information through the Service, please contact us so that we can take appropriate action.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated version and revise the “Last updated” date. If changes are material, we may provide additional notice through the Service or by email where appropriate.
If we materially expand our use of Customer Content for artificial intelligence model training or materially different product-development purposes, we will provide prominent notice and obtain any additional consent required by applicable law before applying the expanded use to Customer Content collected under prior practices. This paragraph does not apply to Google user data obtained through Google APIs, which we do not use to train generalized or non-personalized AI or ML models.
13. Google User Data and Limited Use
If you connect a Google account, we access Google user data only through Google’s OAuth APIs and only for the Google services you choose to connect (for example Gmail, Google Drive, Google Calendar, and Google Ads).
We limit our use of Google user data to providing or improving user-facing Smart AI Team features that are visible in the product. Examples include reading Drive files or Gmail messages an agent needs for a task you request, drafting or sending email you approve, creating or updating calendar events you request, and showing connection status in your workspace. If you connect Google Ads, agents may read and update campaign data you request in the product. That is a user-facing workspace feature. We do not use Google user data to advertise Smart AI Team or any other product.
Smart AI Team’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.
Google Workspace APIs are not used to develop, improve, or train non-personalized AI and/or ML models. We do not use Google user data, including data derived from Google Workspace APIs, for any of those purposes.
- We do not use Google user data for targeted advertising, user advertisements, personalized advertisements, retargeted advertisements, or interest-based advertisements.
- We do not sell Google user data to data brokers, or provide it to information resellers or advertising platforms.
- We do not use Google user data to determine credit-worthiness or for lending purposes.
- We do not use Google user data to create independent databases unrelated to providing the Service.
- We do not allow humans to read Google user data unless you give us explicit permission for a specific support case, it is necessary for security purposes such as investigating abuse, we are required to do so by applicable law, or the data is aggregated and used for internal operations in a way that cannot identify you.
- We transfer Google user data to third parties only to provide or improve the user-facing feature you requested, for security purposes, to comply with applicable law, or as part of a merger, acquisition, or sale of assets with your explicit prior consent. When an agent needs a model provider to complete a task you requested, relevant Google user data may be sent to that provider solely to generate the requested output. That transfer is only to provide the user-facing feature. Those providers are not permitted to use that Google user data to train generalized or non-personalized models.
- Access tokens and related Google credentials are stored as encrypted workspace secrets, used only to perform the authorized actions, and revoked or deleted when you disconnect the integration or delete the workspace, where practicable.
